This Privacy Policy describes how Harbor Check ("we", "us") collects, uses, and protects information when sailing clubs, camps, and youth organizations use our service.
Information We Collect
To support attendance, authorized pickup, and safety operations, we collect and store the following categories of information on behalf of partner organizations:
- Phone numbers — for guardians, emergency contacts, and authorized pickup parties, used to deliver QR passes and pickup verification messages by SMS.
- Guardian information — names, relationships, contact details, and authorization records for parents, legal guardians, and approved pickup parties.
- Attendance records — sailor check-in and check-out events, timestamps, and the staff member responsible for verification.
- Incident reports — incident category, notes, photos, and related documentation submitted by coaches or staff.
- Account information — staff names, email addresses, and role assignments for users of the dashboard.
How We Use Information
Information is used solely to provide and improve the Harbor Check service, including verifying authorized pickups, maintaining accurate attendance records, alerting staff to medical or safety information, and supporting incident review.
SMS Communications
Guardians receive SMS messages containing QR pass links and pickup confirmations. Message frequency varies by program activity. Standard message and data rates may apply. Reply STOP to opt out at any time. Reply HELP for assistance.
Data Sharing
We do not sell personal information. Information is shared only with the partner organization that owns the records, with service providers strictly necessary to operate the platform (such as SMS delivery and cloud hosting), and where required by law.
Data Retention & Security
Records are retained for as long as the partner organization maintains an active account, or as required to meet legal or safety obligations. Data is encrypted in transit and stored using industry-standard security practices.
Your Rights
Guardians and program participants may request access, correction, or deletion of their personal information by contacting their sailing club or program administrator, who can submit requests to us at hello@harbor-check.com.
Children
Harbor Check is used by youth programs. Sailor profiles are created and managed by the partner organization with parental or guardian authorization. We do not knowingly collect information directly from children.
